How the Pennsylvania Corporation Search Works on file.dos.pa.gov
The Business Search of Business Filing Services (linked on pa.gov as Business Name Search and Business Entity Search) takes a word of the name or the entity number and lists every business whose name contains it, from corporations and LLCs to fictitious names (DBAs). The state’s search can’t be run by officer, owner, address or EIN: the Department of State indexes records by “entity name or entity number” only. The Department answers to the Secretary of the Commonwealth, though the search page’s browser title still reads Secretary of State.

Step 1: Type a Word of the Name, or the Entity Number
One box does both. Advanced narrows the list to names that contain certain words and to a record type, a status or a filing date. The line above the box, “As of [date] we have processed all business filings received in our office through [date]”, shows how current the list is.
Step 2: Scan the Filing Information Column
Each row shows the name followed by its entity number in parentheses, then Initial Filing Date, Status, Entity Type, Formed In and Address. When a company uses a Commercial Registered Office Provider, the Address column shows the provider’s name instead of a street address.
Step 3: Open the Side Panel
Clicking a row opens a panel with the Initial Filing Date, Status, Formed In, Filing Type, Filing Subtype and Registered Office, plus View History and Request Certificate. The Department says the information in a company’s annual report is displayed in the Business Search too, along with whether the company has met its annual reporting requirement.
The Bureau’s phone line, (717) 787-1057, checks two names per call (the Department’s FAQ still says Corporation Bureau); a written printout of a company’s full filing history costs $15.
Is the Name Taken? Pennsylvania’s Blocked-Name Problem
A Pennsylvania name is taken if it isn’t distinguishable from one on the Department of State’s records, and those records still carry what the Department estimates are “hundreds of thousands” of Active companies that have filed nothing in decades. Their names stay blocked until those companies are dissolved for skipping the annual report, which the Department expects in 2028 (name availability).
A blocked name can be freed three ways: written consent from the company holding it, a Name Availability Certificate (email RA-CORPS@pa.gov with the subject Name Availability; the answer comes in 7 to 10 days), or proof that a foreign company has abandoned the name in its home state. The online search and the Bureau’s phone line are only preliminary checks; a written search of up to three names costs $15. Reserving a name costs $70 for 120 days, once.
An LLC name needs company, limited or limited liability company, or an abbreviation, and can’t suggest a corporation. A corporate name needs corporation, company, incorporated or limited, or an abbreviation such as Corp. or Inc., and can’t contain limited liability company. Registering a name doesn’t settle trademark questions, which call for a USPTO check on the name.
Fictitious Names (DBAs) Are Filed With the State, Owners Included
A person or company doing business under another name registers a fictitious name with the Department of State, $70, and the filing lists the name and address of each person or company interested in the business. It gives no exclusive right, but it can’t copy a company’s name: dropping Inc., LLC or Company from an existing name doesn’t make it distinguishable. When an individual is listed, the name is also advertised in two newspapers of the county. Fictitious names show up in the same Business Search.
Active Doesn’t Mean Operating: Pennsylvania’s Annual Report
Every Pennsylvania status starts with Active or Inactive, such as Active, Inactive - Dissolved or Inactive - Merged Out, and Active only means the company was never formally ended on paper. Since 2025, most companies file an annual report that will eventually clear out the dead ones.

The first report is due the year after formation or registration, online filings are approved at once, and there is no state late fee. Starting with reports due in 2027, a company that doesn’t file is administratively dissolved, cancelled or terminated six months after its deadline, and its name becomes free for others. A Pennsylvania company can reinstate at any time for $35 online plus $15 per missed report, keeping its entity number; a foreign company has to register again and gets a new number. $136 for a $7 Filing
On August 27, 2026, the Department of State flagged a site charging $136 to file an LLC’s $7 annual report ($171 for a corporation’s); its scam list names others that sell certificates Pennsylvania doesn’t issue.
Subsistence Certificate: Pennsylvania’s Proof of Good Standing, $40
Pennsylvania doesn’t issue a certificate of good standing or a certificate of status. The equivalent is a Subsistence Certificate for a Pennsylvania company, or a Certificate of Registration for a foreign one: $40, ordered from Request Certificate in the search, only for a company in an Active status.
Anyone can order one for any company, but only when logged in to Business Filing Services. It arrives as a download within minutes (the Department’s alerts say within two hours), and anyone handed one can check its Certificate Verification number with Verify Certificate on the portal’s home page, logged in or not. Copies of filed documents are ordered the same way, online only.
No Registered Agent in Pennsylvania: A Registered Office or a CROP
Pennsylvania records a registered office, a street address in the state (a P.O. box alone isn’t accepted), instead of a registered agent, and legal papers can be sent to that registered office address. A company without a Pennsylvania location can list a Commercial Registered Office Provider (CROP) instead, and the record then shows the provider’s name and county.
The register keeps no list of LLC members or shareholders (only fictitious names and general partners show owners), but the annual report names at least one governor (a director, an LLC manager or a member who takes part in management, which for an LLC can itself be a company) and the principal officers, and the Department says a governor listed there isn’t necessarily authorized to act for the company. For active companies, the Department of State also publishes registered businesses by county on data.pa.gov, updated monthly, with governors and officers where filed. Unlike the Business Search, it filters by county or ZIP code; its own note warns that it counts more active businesses than actually exist.
EIN, Account ID and Sales Licenses in Pennsylvania
The entity number “serves only as an internal file number,” in the Department of State’s words; no public state search returns a company’s EIN or its 8-digit Pennsylvania Department of Revenue Account ID, and the two departments’ records aren’t linked.
A seller’s sales tax license can still be checked: the Department of Revenue’s list of active sales tax licenses gives the legal name, trade name, license type and expiration date, with part of the license number masked. A company’s own EIN comes back from the IRS, by Letter 147C or at 800-829-4933, as described in the IRS routes to a missing EIN.

Filings have taken about one business day on average since May 2025, and the line above the state’s search box shows the date processing has reached; the search on this page can take longer to catch up. Same-day service costs $100, three hours $300 and one hour $1,000.
Is there a Pennsylvania business license search?
Not a general one: the Department of State issues no business licenses, and the county, township, city or borough may require one. Professional licenses are checked in PALS, which also shows discipline.
Does a Pennsylvania DBA search show the owner?
Yes. The registration lists each person or company interested in the business, and the Department names fictitious name owners among the details it gives on its website and by phone.
